Harriet Tubman Community Organization is a Toronto-based nonprofit that supports youth, families and community members through culturally responsive programming, counselling, education and leadership-development initiatives.
As the organization expanded its programs and online communications, it needed greater control over its website infrastructure. Venus Systems International was engaged to coordinate the migration of its website, domain and hosting services to a more secure and manageable cloud environment.
Tubman Community Organization’s website operated within a legacy hosting arrangement that made administration, development and future expansion difficult. Website resources and domain responsibilities were distributed across different providers, limiting the organization’s direct control over important digital assets.
The organization needed to:
Because the domain was connected to the organization’s public identity, the migration required careful coordination. Incorrect DNS changes or an incomplete transfer could interrupt website access or affect other domain-related services.
Venus Systems developed a phased migration plan covering the existing website, domain configuration, hosting environment and administrative requirements.
The first stage involved reviewing the existing infrastructure and identifying the services connected to the domain. This allowed the migration team to document dependencies, administrative access, DNS records and website resources before making changes.
A secure cloud-hosting environment was then prepared for the organization. The environment was configured to support WordPress, SSL encryption, website backups, database management and future expansion.
Before migration, available website files, media and database information were backed up. Venus Systems also coordinated the domain-management process to ensure that the organization maintained control over its digital identity.
The migration included:
The migration was coordinated alongside the website redevelopment project, allowing the new website to be built within the environment where it would ultimately operate.
To reduce risk, Venus Systems separated the migration into controlled stages. Backups were completed before changes were introduced, and the new environment was prepared before the domain was redirected.
Website pages, links, forms, images and administrative functions were tested after migration. DNS and SSL configurations were also reviewed to confirm that visitors could access the website securely.
This approach reduced disruption while giving the organization a clearer and more manageable infrastructure.
The migration provided Tubman Community Organization with:
Most importantly, the organization gained greater ownership of the technology supporting its online presence. Its hosting environment can now be maintained and expanded according to its operational needs.
